How to Choose Between Golf Tour Operators
There are approximately 160 companies in our industry. Thousands upon thousands of golfers have been in your position. It’s easy to become overwhelmed, and we understand the fear that the company you select may drop the ball and let you (and your friends or family) down. It is often one group leader who is making the choice for 3, 7, or even 40 others so we understand that you want to feel comfortable with your choice.
Comparing golf tour operators is not necessarily a straightforward task. Here we have outlined some criteria for evaluating companies that you may want to consider.

Any company you consider should have a solid track record of happy customers.
We encourage you to Google any company you are considering to be sure that they have more than a nominal amount of reviews. Only a few companies in this industry have more than a few hundred reviews. If they have hundreds of happy customers that left them online reviews, it’s likely you’ll end up happy too and have no hitches while on your trip. Read the reviews to be sure that they are for trips to the destination you are traveling to (e.g., international trips as opposed to domestic trips). In our industry, Google and TripAdvisor are the most trusted sources for online reviews.
Pioneer Golf has the most 5-Star Google reviews in the industry. In fact if you take the top 5 companies in our industry (these 5 handle about 65% of the business to Scotland and Ireland), we have almost twice as many 5-star reviews than the other four… combined! A small or one-person operation doesn’t necessarily mean that the trip will not meet your expectations, but it does introduce an element of risk. Companies with a larger staff have likely been around long enough to grow provided they do a good job. This industry is characterized by many small companies or one-person operations especially based in Ireland and Scotland that are only in business for a few years before moving on.
Call any famous golf course on your itinerary and ask anyone in the reservations department if they consider the staff of the company you are considering to be on-the-ball, conduct themselves in a professional manner, pay on time, and most importantly ask them if they believe that the operator will be able to organize a trip with no problems. Golf courses will have a very good idea of whether an operator makes mistakes or has a reputation for sloppiness. You can call hotels as well but this is usually less effective as front desk hotel staff come and go or haven’t been there long. Staff at the more famous courses have often been there for a while.
We have the largest staff of all golf tour operators specializing in organizing international trips. We don’t hide who we are. You can see our names and faces on our website. As far as volume, we are the second largest golf tour operator for Scotland trips and third largest for Ireland/Northern Ireland trips. We are not a low-cost provider that relies on quantity while sacrificing quality. We are responsive and attentive because we have an amazing, dedicated team that will go the extra mile for you. You are hiring a company to provide a service to not just you but the others in your group as well. This is likely a very special trip for most in your group. Arranging an international golf trip for a group of people will have many moving parts including successfully securing tee times at some of the most famous courses in the world. You’ll want to be sure that the company you select excels at customer service in addition to operating trips.
Be observant. Your trip is likely to be handled with the same level of professionalism, responsiveness, and thoroughness reflected in the written proposal or your communication with the company thus far. A sloppy or skimpy proposal may be a harbinger to a poorly planned trip. It is important both to trust and to feel comfortable with those who will be guiding you in the months or years leading up to your trip.

Our industry is not regulated. Anyone can set up an office and sell golf trips. That being said, the most coveted designation in the golf travel industry is the “Authorised Provider” status bestowed by the St Andrews Links Trust (the organization that controls arguably the most famous course in the world). Yes, in Britain the word “authorized” is spelled with an “s” instead of a “z”. The St Andrews Links Trust grants this designation to golf tour operators that it deems deserving. Some of the factors they use for selection are reputation, the way they do business, and the number of golfers they send to St Andrews. Only these operators, of which there aren’t many, are allocated guaranteed tee times on the Old Course.
Even if you’re not going to play the Old Course and even if you’re not even going to Scotland, you’ll want to deal only with a company that has this designation as proof that they can be trusted. If they are an “Authorised Provider”, this logo should be somewhere on their homepage.

If your trip goes wrong for whatever reason, your only reasonable means for recourse if you’re American or Canadian will be if the company is based in the US or Canada. It’s an expensive hassle to seek resolution from a company based abroad.
The Better Business Bureau’s website (www.bbb.org) will list the registered address of any US based company. This information can be verified by the office of the Secretary of State in the state where the company is registered.
Pioneer Golf is incorporated and based in Austin, Texas although it is Scottish owned and managed.

Each year, travel companies come and go. We recommend working with an operator that has established a good reputation over a number of decades.
The Better Business Bureau’s website (www.bbb.org) will list length of time in business along with a rating. This information can be verified by the office of the Secretary of State in the state where the company is registered. For companies based outside of the US, use the official government’s website of the country where they are based to verify this information.
Pioneer World Travel, Inc. was established in 1971. In 1992, it merged with another entity (Pioneer Customized Golf Tours, Inc.) and the merged entity changed its name to Pioneer Golf, Inc. In 2025, Pioneer Golf changed from being classified as a corporation to an LLC. Peter Hazelton was the sole owner of all entities until his son, Mark Hazelton, became a co-owner in 2005.

It’s travel! Flights are delayed and accidents happen so be sure that the company you are dealing with is available 24/7 during your trip.
Tough to really know if a company’s emergency contact or phone will be available at any hour should an issue arise. Perhaps try checking their Google reviews for a clue.

Past customer feedback is always important. However, with the advent of online reviews, we rarely find ourselves giving references.
The company you select should be able to provide you references that live in the area you are from if asked. This precludes them from cherry picking references. Also, another easy way to get a reference is to call a famous golf course on your itinerary and ask them for feedback on the company you are considering.

It’s really not that important… These days, membership in a trade association may seem to lend a bit of credibility, but the reality is that any company can join these associations for a few hundred bucks a year and no vetting will occur.

The company should specialize in international golf trips. In fact, conventional travel agencies turn to companies like Pioneer Golf to organize their clients’ international golf trips.
Check a company’s Google reviews and see where their customers went. Did most take domestic or international golf trips? If you are taking an international golf trip, use a company that sends most of their customers abroad. Better yet, work with a company that routinely deals with your destination.
Pioneer Golf is a golf tour operator and not a general travel agency. We are also a golf tour operator that focuses on international trips and not primarily on domestic trips. Of the 150+ companies in this industry, Pioneer Golf sends more golfers to Scotland than all but one other company and more golfers to Ireland than all but two other companies.

Did you know that large corporate groups routinely ask us for proof that we have what is generally referred to as a Travel Agents and Tour Operators Professional Liability Insurance Policy? It’s a policy that provides multiple types of coverage that a company in our industry should have. A corporate group will simply not do business with a company that doesn’t have such a policy due to the risks. You shouldn’t either. Be certain that the company you are working with is properly insured. Uninsured companies are vulnerable and are more likely to not exist when your trip begins. Such a policy is different from a general business policy which, of course, every company should also have.
Ask any company you are considering for proof of their Travel Agents and Tour Operators Professional Liability Insurance Policy along with the limits of liability and their policy number. Don’t settle for proof that they have a general liability policy… Everyone has one of those. Be sure their policy is still valid. For added security, call the listed insurance carrier to verify if the certificate of coverage is authentic.

Nobody wants to overpay and the old adage that you get what you pay for is true more often than not. Most reputable companies in this industry are priced similarly. Get a handful of proposals for your trip. If a price is unusually low, it may be from a “low-cost” provider who will likely make up that cost later with certain pricing tactics (see next section below) or from a company offering a completely different level of service than Pioneer Golf. These can readily be identified by their skimpy proposal, lack of clear language on price/exchange rate/terms/conditions, lack of responsiveness or professionalism, or lack of enough staff to handle their volume of business.
Most importantly, it is often difficult to compare prices amongst similar proposals or quotes as a few tactics are often employed in this industry to present a price that is lower than what you will eventually pay. You can get some help in comparing proposals/prices in the following section.
If comparing apples to apples, and you have quotations from the few companies that have hundreds of great online reviews and who you’ve confirmed to be reputable, then the prices will likely be about the same. Price doesn’t vary that much in our industry. That said, a lower price may simply mean hidden charges or a price that will be adjusted later (read their Terms & Conditions). Our best recommendation is to read the next section of this page to help you determine the true cost of your trip so you can better compare proposals from various companies.

Hidden Costs Are a Problem in Our Industry… How to Compare Proposals and Prices.
Be sure you are comparing Apples to Apples.
You have likely received a few proposals for your golf trip and each has a price. You’ll need a little industry insider information to determine the true cost of your trip as many tactics are used in this industry which result in the price you’ll eventually pay being higher than the one initially presented. Sometimes much higher!
Here at Pioneer Golf, we have pulled out all the stops to include absolutely everything in your price and present you a price that is absolutely fixed. The last thing we want is to have the group leader be plagued by complaints from their friends or family that the trip is more expensive than they were initially told when the trip components have remained the same.


* If booking a trip when vendor rates for the year of travel have been released, this is not an issue. If booking well in advance when rates for the year of travel have not been released, then most all companies will later raise the price when they receive new rates. Pioneer Golf estimates rates to avoid having to raise your price later.

Many companies will base their price on supplier costs of that year (often the year or two before you will be traveling) and their terms and conditions state that their price will be bumped up later once prices are released for the year you intend to travel in. Pioneer Golf’s prices take into account inflation, so the quoted price will be the final cost to you. If you book a trip one or two years in advance, we have taken inflation into account so that you don’t have to worry about a bump later. Inflation at most courses and hotels in popular golfing hubs is roughly 10% to 15% per year.
On a $7,000 trip being booked one year in advance this tactic could result in your trip price increasing by $700 - $1,050 per person later. For the same trip booked two years in advance, your price could increase twice that much.

On a $7,000 trip, this adds $160 - $350 per person
Companies based in Scotland or Ireland may give you a price in pounds or euros. The exchange rate you’ll find anywhere online is a wholesale, inter-bank rate for huge transactions. You won’t get that rate! Add about 2.3% - 3% to this wholesale rate to determine the exchange rate that your credit card company will use to translate your foreign currency purchase to US dollars. To get a realistic rate, find the exchange rate online and add 2.5% to that.
Beware of a price in US dollars from a company based outside the US. Usually they will state the exchange rate used to arrive at their estimate of the trip price in US dollars. This exchange rate is often unrealistic and misleading. Ignore the rate they use and determine the actual rate by finding the exchange rate online and adding 2.5% to that. This very common practice often understates a trip price by 3-5%.

Many credit cards charge a 3% fee when the cost of your purchase is in a foreign currency which it will be if the golf tour operator you chose to work with is based abroad. Call your credit company to ask if they impose such a fee. On a $7,000 trip, this adds $210 per person.

Many golf tour operators, especially those quoting in pounds or euros, charge an additional fee of approximately 3-4% if you pay by credit card (a common practice in the UK and Ireland). Avoid companies that do not accept credit cards (even if you intend to pay by check or ACH). Pioneer Golf’s prices are identical regardless of how payment is tendered. On a $7,000 trip, this adds $210 - $280 per person.

Most companies will provide prices “subject to exchange rate fluctuation”. There is nothing deceptive about this practice. If the US dollar weakens, it’s certainly not fun receiving complaints from other group members that their trip price has increased. If the US dollar strengthens, you have to trust that the company will pass on their savings to you (be sure to calculate it yourself and chase after them as many will not pass it along to you). Pioneer Golf presents a completely fixed price in order to entirely remove your foreign currency fluctuation risk. To the best of our knowledge, we are the only company in the industry that does this.

If the St Andrews Old Course is part of the plan, its cost may or may not be included in the total price of the trip. When comparing proposals and prices, be sure to account for the fact that some proposals may include the cost of an Old Course tee time while others may not. It usually depends on how this particular tee time is being sourced. Pioneer Golf will clearly state whether the cost of the Old Course price is included in the overall price.
The easier stuff to identify!

The caliber of hotel can greatly influence price. The only definitive way to know if you are comparing like with like, is to be certain that the same hotels and number of nights are included in each proposal and that the trips are at the same time of year. Even if you compare hotels of the same caliber, the price may be very different depending on location. This is especially true when comparing “in St Andrews” versus “a five-minute drive from St Andrews”. For example, in St Andrews the Old Course Hotel, the Rusacks Hotel, and Seaton House are a lot more expensive than the Fairmont Hotel although they are all 5-star hotels since the Fairmont is outside of town.

Are the courses identical? If the St Andrews Old Course is included in your itinerary, determine whether the tee time is guaranteed or not! That alone is a difference of thousands.

The vehicle most appropriate for four golfers is a van, not a minivan or an SUV. Although more expensive, Pioneer Golf provides full-size vans (Mercedes or similar) with automatic transmission. Automatic transmission is much more expensive than manual. Discovering only upon arrival that four golfers with clubs and baggage do not fit in a minivan or SUV is an unpleasant way to start your trip.

If two itineraries are identical, then the transfers should be too. However, the vehicle may be different. We normally use Mercedes executive vans or coaches (or similar quality vehicles) for all transfers and have drivers/guides who are absolutely wonderful! We do not use taxis and any company that uses a taxi company to provide their transfers should be avoided. Ask or you’ll never know until you arrive.

This is an area in which price can vary considerably. Pioneer Golf’s coach operator has the best fleet in Scotland, designed specifically for golfers. Most of the vehicles are Mercedes or Vanhool coaches outfitted to the highest degree of luxury. In fact, our operator was recently named “Transport Operator of the Year” by the trade association Golf Tourism Scotland. Be wary of tour operators that own their own coaches; they are usually older vehicles in sub-par condition. Ask for photographs of the vehicle that you have been promised. Ask if you have been given a price for a full-time chauffeur and vehicle as opposed to a vehicle and driver for transfers only (what we classify as “Private Group Transfers”). Sometimes companies aren’t clear if you have a full-time van/coach and driver versus the much less expensive option of just transfers. Finally, your driver can “make the trip” and our drivers are the best in the business.

Travel in April and October is usually less expensive than May through September. Check that all your proposals apply to the same time period.
Why Use a Golf Tour Operator Instead of Arranging a Trip Yourself?
If you have the time and some experience, arranging a golf trip may be a viable option for you in certain circumstances. Hundreds of companies exist in this industry because arranging an international golf trip often is much more complex than meets the eye. We’ve had customers who have arranged their own trip before but then used us for a subsequent trip because it didn’t pan out as envisioned (e.g., didn’t get tee times on all the courses they wanted), because it became a second job to deal with all the moving bits and pieces, because they got tired of chasing up after their friends for money, or because a few hitches presented themselves that impacted the trip negatively.
If you’re a single golfer or perhaps a couple, one factor that is certainly eliminated is dealing with others who are counting on you to organize a trip with no issues. Couple this with having plenty of time, being very organized, not needing to play the St Andrews Old Course or other famous courses, and renting a car (as opposed to wanting a driver for transfers or full-time) then you may have a recipe to give it a go yourself. If you miss a deadline to pay the remaining balance at a golf course and lose the round or if the transportation you arrange is unreliable, then your son or spouse will likely be much more understanding than a group of friends or family members who are dead set on having the best experience possible.
On the other hand, if you’re considering organizing a trip for a group of more than two composed of friends and family, the hassle involved isn’t worth the relatively small savings. Yes, using a golf tour operator will be a bit more expensive but generally not nearly as much as you would think as golf tour operators receive better rates from vendors than you would.
Other practical reasons exist for using a Golf Tour Operator including:

Golf Tour Operators will be able to get you on certain courses that you won’t be able to yourself. Some golf tour operators have better access to courses and to the better tee times than others. Our access is unrivaled.

Golf Tour Operators get preferred rates at many courses and accommodation providers.

The best Golf Tour Operators in the business will have drivers who are reliable, friendly, and care! They will often “make the trip”. We can’t tell you how many times we’ve heard this! Just read our Google reviews to get a sense of how much this matters to people!

You don’t have to deal with foreign currency issues and fees.

You don’t have to worry about the exchange rate going the wrong way and the cost of the trip increasing substantially (only applies if the Golf Tour Operator is willing to fix your trip price).

You don’t have to hassle with collecting money from friends.

You don’t have to hassle with figuring out what courses allow carts and under what circumstances have pull carts; forecaddies, senior caddies, junior caddies; require caddies; and so many other things.

You don’t have to worry about losing a round or hotel because you forgot to pay deposits or the balance at the likely 10+ vendors that make up the component pieces of your trip.

If something goes wrong, you don’t want the wrath of your friends.

You don’t want to deal with friends or family pulling out of the trip and harassing you to reimburse them what they have paid you when you’ve already paid the hotels and golf courses.

You can relax on the trip!
We are not often asked what the benefit is of using a Golf Tour Operator or booking a trip yourself since to most golfers, the fact that golf specific tour operators exist is a welcome relief. However, we are often asked why we should be a potential customer’s operator of choice versus others. We have also had plenty of clients tell us of bad experiences with a Golf Tour Operator they used in the past. During Covid so many Golf Tour Operators went out of business or simply closed their doors only to resurface a few years later. Plenty of operators are owned and run by avid golfers who turn their passion into a business. Although we are golfers, our roots are as tour operators dating back to 1971, and our entire staff is committed to delivering the highest level of service in the industry. We firmly believe that you should do your due diligence before entrusting your trip to any company and the above is simply meant to help you figure out how to do that.
