TERMS & cONDITIONS

The terms and conditions herein will serve as the sole contract between you (the “Traveler”) and Pioneer Golf, LLC (“PG”). When you secure the services of PG by paying your deposit, you do so with the implicit understanding that PG is your sole representative, and PG will thereby act as an agent between you and various suppliers/vendors and attempt to secure your travel arrangements. A completed registration form and payment of a non-refundable deposit are required before any reservations are made on your behalf. PG is not responsible for any Traveler’s unawareness of our Terms and Conditions and will require all Travelers to acknowledge and accept them (including our no-refund policy) upon registration and payment. These terms and conditions (the "Agreement") describe what you are legally entitled to expect from us when you book your trip through us, in addition to the legal obligation you make as a customer, that affects your legal rights. The terms "we", "us", "our", and “PG” refer to Pioneer Golf, LLC. The term "you", “participant”, “customer”, and “client” refers to the customer visiting our website, and/or booking a trip through us. You acknowledge and agree that we may change these terms and conditions from time to time and that those changes become effective immediately. You agree to be bound by the terms and conditions that are in effect at the time of your travel. You agree that it is your responsibility to be familiar with these terms and conditions and to check back occasionally for any updates. You represent and warrant that (a) you are of sufficient age to use our services and website and can create binding legal obligations in connection with your use, (b) you, as the group designated leader/representative are authorized to act on behalf of those you represent (if applicable), c) you, as a group member accept these terms and will confirm so upon registration and payment, and (d) the information supplied by you or members of your group is true and correct. You are responsible for informing such other persons of all terms and conditions applicable to their travel arrangements. You understand that you are financially responsible for any use of our services or website by you and those for whom you make bookings.

Price 

The total trip price is based on the number of travelers, as stated in the presented proposal/itinerary and is stated in U.S. dollars. PG converts all prices from foreign currencies to U.S. dollars at the current rate of exchange, as determined by PG, on the date that the proposal is prepared. Therefore, package prices can vary based on the rate of exchange when the proposal was prepared and when all deposits/registration forms are actually received. If additional travelers join the trip later, their trip price(s) may differ. If you accept the proposal and pay the deposit later than the date stipulated in your proposal, PG reserves the right to adjust the price to reflect the exchange rate on the date of acceptance. Because our supplier contracts prohibit such, the PG package prices cannot be itemized. Your trip package price may change as a result of a change in the number of travelers in your group (e.g., an individual traveler’s cancellation). All airline arrangements are solely between the traveler and the airline(s) and entirely separate from the PG ground tour arrangements. Air travel is not included in the price of the trip and cancellation charges for air travel will be governed by the terms and conditions of the airline. Trip participants must NOT purchase air travel tickets to or from the destination until notified by PG. If participants purchase air travel before confirmation is received and the trip is then canceled or changed either by the guest or by PG, PG will not be responsible for the expense of the ticket. Note that groups should book flights so that all travelers’ arrival and departure times coincide to minimize excess airport waiting time and avoid private transfers (additional cost). PG is not responsible for any costs, fees, restrictions or charges whatsoever for airline tickets, arrangements, delays, cancellations, etc. However, travel insurance, if purchased, may cover some of these situations. If any extra ground transfers are required, they are the responsibility of the traveler and not PG.

Payments

 
All payments to PG are non-refundable. PG accepts payment online by bank transfer (ACH), checks, and online payments by credit card (Visa or MasterCard only). You will be required to accept our Terms and Conditions including our no-refund policy before making each payment. The trip price does not change whether payment is made by check, ACH, or credit card. A completed registration form and the payment of a non-refundable deposit for each traveler is required prior to PG proceeding with the group’s arrangements and such amount is stated in the proposal. By paying the non-refundable deposit and registering, the traveler thereby agrees to be bound by and accepts all terms and conditions contained therein. Pioneer Golf will request tee times and accommodation based on the number of travelers listed on the agreement form completed by the group leader. Initial deposits from all travelers are due within two weeks. At the two-week mark, reservations will be reduced to reflect the number of participants who have paid their deposit. To avoid having your reservations reduced, any unpaid deposits may be covered by another group member and can later be reimbursed directly to that group member by another member. If a group reduces in size prior to all initial deposits being paid, the group will be liable for any lost deposits paid to vendors based on the number of travelers listed on the agreement form. A final non-refundable payment is due from all group members once all reservations are confirmed. Final payment is due within two weeks of receiving your completed Summary of Reservations. In order for our suppliers to confirm your reservation, we are obligated to make payments to them well in advance of your trip. If we do not receive any payment in full and on time, we reserve the right to treat your booking as canceled by you. We reserve the right to refuse a booking without giving any reason and shall in that event only return any deposit received.

St Andrews Old Course Guaranteed Old Course Tee Times (if applicable)

PG is an Authorised Provider of “Guaranteed” St Andrews Old Course tee times and has held this designation since the inception of the Authorised Provider Program. This designation, along with the associated allocation of Guaranteed Old Course tee times, is granted exclusively by the St Andrews Links Trust (“SALT”), the entity that operates and regulates access to the St Andrews Old Course. Any client purchasing a Guaranteed Old Course tee time from PG will be required to remit a second non-refundable deposit, as specified in the applicable trip proposal, in late October of the calendar year preceding the scheduled date of play.PG’s status as an Authorised Provider is subject to annual renewal by SALT. In the unlikely event that (i) the Authorised Provider Program is discontinued or materially altered; (ii) PG’s Authorised Provider status is not renewed, is revoked, or otherwise lapses; or (iii) PG is unable, for any reason, to provide a Guaranteed Old Course tee time expressly promised in your proposal and confirmed by your group leader in a signed agreement/contract, then your sole and exclusive remedies shall be limited to the following:

1.  Trip Cancellation and Refund:

You may cancel your trip and receive a reimbursement of all amounts paid by you to PG; or

2. Proceed Without a Guaranteed Tee Time:

You may elect to continue with your trip without a guaranteed Old Course tee time and instead participate in SALT’s public Old Course tee time lotteries. In such case, PG will refund to you the premium amount paid for the Guaranteed Old Course tee time, as determined by PG or as detailed in your proposal.

By proceeding with a booking that includes a Guaranteed Old Course tee time, you acknowledge and agree that the remedies described above constitute your sole and exclusive recourse, and that no additional compensation, damages, or claims of any kind shall be available to you in connection with the circumstances described herein.

Changes

 
After final payments have been made, itinerary changes are permitted for an administrative change fee of $50 per person, per change, to cover additional labor costs. This administrative fee is in addition to any supplier charges incurred as a result of changes, such as additional green fees, additional accommodation charges, transportation costs, etc. PG reserves the right to make changes to its presented itineraries which we deem insignificant and are due to reasons beyond our control. In such cases, we will arrange for the substitution of comparable services. As an example, significant changes do not include the following, change of accommodation to another of the same standard, any change in the itinerary due to holiday, facility closure or weather, and any minor itinerary change where we make a reasonable substitution. PG will not be responsible for delays prior to the departure of your trip, during your trip or at any other time and will not be responsible for any additional cost or loss which may be caused as a result of these delays. Courses are rarely closed due to inclement weather, except when it’s very stormy or the course is flooded. If a course is officially closed, either before you begin play or after play has begun, refunds are entirely at the discretion of the course management. Normally, you must prepare to play in inclement weather and not expect any refunds. It is understood that these trips are weather dependant and cannot be guaranteed. 
PG reserves the right to use the current rate of exchange at the time a change is made, as opposed to the rate of exchange that applied to the elements of the trip package agreed upon at time of signup.

Cancellation

 All payments to PG are non-refundable. PG is unable to issue refunds of any payments made. This policy is strictly adhered to as funds are distributed to suppliers/vendors in advance of your trip who themselves have varying cancellation policies, most providing no refunds. 

PG strongly suggests travel insurance to protect you in event of your cancellation. Notification of cancellation must be received by PG in writing and is considered effective on the date it is received by PG. Such notice is also required when making a claim on a travel insurance policy. No refunds will be issued for any unused portions of your trip package, and PG will not issue refunds for missed tee times, accommodations, etc. due to disrupted air travel or other delays beyond our control. Should a traveler cancel and have his or her place taken by a replacement, there will be a name change fee of $100. However, name changes are possible in most, but not all cases (i.e., few golf courses do not allow name changes). If you elect to forgo travel insurance and cancel your trip, you therefore accept full financial responsibility.

Rescheduling

While the purchase of a Cancel For Any Reason (“CFAR”) travel insurance policy is the only way to fully protect your financial investment, PG does permit groups to reschedule their trip to a future year. A rescheduling to a future year is subject to a rescheduling fee as per the below schedule, in addition to any supplier rate increases applicable to travel in the future year, and lost deposits or payments to suppliers who are unwilling to move bookings to a future year. PG is only able to reschedule a trip if cancelled at least 75 days before departure.

Trips with guaranteed St Andrews Old Course tee times can not be rescheduled. They can only be cancelled within 75 days of departure for an 80% reimbursement subject to the entire package with all its component parts being sold to another party.

You should be aware that many suppliers do not permit the transfer of deposits or payments to a future year. If a supplier declines to move payments already made by PG on your behalf, the group will be solely responsible for any forfeited deposits or non-transferable payments associated with elements of the original itinerary. Some suppliers may require documentation and/or a compelling explanation before considering whether payments may be transferred to a future year and timing will also play a part. By way of example, some courses allow transfers only in cases involving the death or a recent diagnosis of a terminal illness of a group leader especially if such a group leader is traveling with multiple family members. In principle, most suppliers do not allow payments to be moved to a future year, as they expect travelers to carry adequate travel insurance—including CFAR coverage—should cancellation or rescheduling become necessary.

Force Majeure 

PG shall not be liable for any failure, delay, or inability to perform its contractual obligations, nor shall PG be required to provide any refund, reimbursement, or compensation of any kind, where such failure, delay, or impact is caused by, results from, or is in any way connected to circumstances amounting to Force Majeure. You acknowledge that, in such circumstances, you may suffer loss, inconvenience, injury, damage, or, in extreme cases, illness or death, and that PG bears no responsibility or liability for such outcomes.

For purposes of these Terms and Conditions, “Force Majeure” refers to any event or circumstance that could not reasonably have been foreseen, prevented, or avoided by PG or by any supplier involved in providing the relevant travel services. Force Majeure events include, but are not limited to:

- Acts of God (including storms, floods, earthquakes, volcanic activity, wildfire, or other natural disasters);
- Actual or threatened war, armed conflict, insurrection, civil unrest, riots, or military action;
- Governmental or regulatory actions, orders, advisories, restrictions, sanctions, or travel prohibitions issued by any national, regional, or local authority or governing body;
- Epidemics, pandemics, public-health emergencies, communicable disease outbreaks, quarantine requirements, or medical directives affecting travel;
- Terrorist activity or the credible threat thereof;
- Industrial action, strikes, labor disputes, or work stoppages;
- Technical, mechanical, operational, or maintenance issues affecting transportation providers, including schedule changes, cancellations, or failures by airlines, carriers, or other suppliers;
- Cyberattacks; digital, electronic, or network failures; system outages, malfunctions, or technological disruptions affecting reservations, payments, travel logistics, or supplier operations;
- Natural or nuclear incidents;
- Border closures, immigration or customs restrictions, or other government-imposed travel limitations;
- Adverse or unsafe weather conditions; and
- Any other event or circumstance outside PG’s reasonable control, whether similar or dissimilar to those listed above.

In all such cases, PG’s obligations shall be suspended for the duration of the Force Majeure event, and PG shall not be deemed in breach of contract. No refunds, reimbursements, or alternative compensation will be provided unless expressly required by applicable law or expressly offered by PG in its sole discretion.

What’s Included in Your Package 

Your initial proposal and the Summary of Reservations will detail what is included in your trip at the package price provided. Only the items expressly listed in these documents are deemed included in your package.

What’s Not Included in Your Package

 
Any items and matters not referred to in your itinerary are not included in the trip price. This includes, but is not limited to, items such as airfare, checked and/or excess baggage; passport and visa fees; trip protection and/or insurances of all kinds (unless specifically included, e.g., rental car insurance); caddies; carts (unless specifically included); pull carts; rental vehicle fuel; rental vehicle optional insurance (which often reduces the deductible and provides extended coverage); laundry; phone calls; minibar; beverages and meals not detailed as included in the initial proposal or Summary of Reservations; sightseeing excursions or entrance fees; and and/all items of a personal nature. Additional taxes and surcharges may be collected by foreign governmental and non-governmental entities. The price does not cover costs and expenses, including your return home, if you leave the trip whether of your own volition, our decision based on behavior that disrupts the trip, due to illness, action by any government or other reason. This list is illustrative and not a complete list of every item that is not included.

Travel Protection Plan

 
A travel protection plan (travel insurance) coverage for accident, baggage, golf equipment and trip cancellation protection is suggested. Travel Insurance can include Cancel For Any Reason coverage (CFAR), Trip Cancellation payments protection, Travel Delay expenses, Emergency Medical Expenses or Evacuation/Repatriation, Supplier Default, Baggage / Golf Equipment loss or damage, coverage for pre-existing conditions, etc. For a free quote and additional information visit: www.pioneergolf.com/travelinsurance You may purchase any travel protection insurance on your own with a supplier of your choice. PG is not qualified or authorized to answer technical questions or recommendations about the benefits, exclusions, and conditions of various travel insurance plans. PG cannot evaluate the adequacy of any insurance coverage. If you have any questions about your travel protection, you must call your respective travel insurance company, agent or broker. Certain countries have a requirement for foreign visitors to have valid medical insurance upon entry. PG cannot be held responsible for denied entry if a traveler is unable to provide sufficient details to authorities of insurance or is denied entry for any reason. It is advisable to always carry proof of your personal health insurance policy and/or your travel insurance policy with you. The UK and Ireland have never had such a requirement, and, as of December 5, 2025, do not have such a requirement. Declining travel protection coverage could result in the loss of your travel investment and/or require additional money to correct the situation. You also acknowledge that without this coverage, there may be no way to recoup any losses, costs or expenses incurred. If you choose to travel without adequate coverage, PG will not be liable for any of your losses, however arising.

Pre-existing Medical Conditions / Disabilities

 
Many destinations may not be suitable for travelers who use a wheelchair or have a lack of mobility. However, if asked before booking, PG can create an itinerary for you that takes into consideration your level of mobility. It is essential that you advise PG before booking if you do have any disability or pre-existing medical condition which may affect your trip, or if you have any special requirements as a result of any disability or medical condition (including any which affect the booking process), so that we can assist you in considering the suitability of the arrangements and/or in making the booking. Full details must be confirmed in writing at the time of booking and when/if any change in your condition or disability occurs. PG will make all reasonable efforts to accommodate requests but cannot be responsible if disability accommodations are not available. Any accommodations provided will be at the sole expense of the guest requiring the accommodation. Please note that many accommodation establishments outside of North America may not be in compliance with or similar to the Americans with Disabilities Act and may not have adequate wheelchair accessibility. The tour guides and tour leaders, if applicable, are unable to offer additional assistance to passengers with limited mobility and all such assistance will need to be provided by the passenger’s traveling companions. Participants with disabilities must notify PG in writing no later than the time of booking of status and of the identity of their non-discounted, paid travel companion who will be responsible for providing all necessary assistance. PG may request that you provide a letter from your doctor confirming your fitness to travel.

International Travel Documentation

 
By offering reservations for travel in particular international destinations, PG does not represent or warrant that travel to such areas is advisable or without risk. It is your responsibility to be aware of travel warnings and advisories as announced by the U.S. State Department, or your respective country’s authority. Should you choose to travel to a country that has been issued a travel warning or advisory, PG will not be liable for damages or losses that result from travel to such destinations. U.S. citizens, including minors, traveling outside the United States are required to carry a passport valid for 6 months after the return date along with applicable visas. It is your responsibility to obtain proper documentation to travel, including but not limited to a passport, and any required visas, reciprocity fees, affidavits, immunizations, etc. For information about passport requirements, you can visit the US State Department’s website at https://travel.state.gov/content/travel/en/passports.html

Non-U.S. citizens, those traveling on non-U.S. passports, or those arriving to or departing from a non-U.S. destination, should inquire with any applicable embassies or immigration authorities about entry/exit requirements for countries they are visiting, departing from, or returning to. 

Such items as documentation, vaccines, insurance, or anything else that might be required are the responsibility of the Traveler. PG bears no responsibility for such information and will not be responsible for advising and/or obtaining required travel documentation for you, or for any delays, damages, and/or losses including missed portions of your vacation related to improper documentation or government decisions about entry. 

In some countries you may be subject to and responsible for entry (reciprocity) fees and/or departure taxes/exit fees which will be collected at the airports upon entry/departure by local government authorities. Please note that entry to any country may be refused even if the required information and travel documents are complete.

Health

 
Recommended inoculations for travel may change and you should consult your doctor for current requirements or suggestions before you depart. It is your responsibility to ensure that you meet all health entry requirements, obtain the recommended inoculations, take all recommended medication, and follow all medical advice in relation to your trip. Inoculation requirements can be found on the Center for Disease Control website at https://www.cdc.gov/.

Liability

 
PG acts only as an agent between the Traveler and the owners or contractors providing transportation, accommodation, golf, and other services. All tickets and vouchers are subject to any and all terms and conditions under which transportation, accommodation, golf, and other services are offered or provided, and constitute the sole contract between the trip member and supplier. By accepting the vouchers, and tickets, or utilizing the services, all customers agree that neither PG, nor its employees, agents, or representatives are or may be liable for any loss, injury, or damage to any tour participant or their belongings, or otherwise, in connection with any service supplied or not supplied resulting directly or indirectly from any occurrence beyond the control of PG. Therefore, PG, hold themselves free of responsibility for any damage(s) from any cause(s) whatsoever. PG shall not be liable at any time, in any way, for loss, injury or damage arising from an act of nature, any force majeure including those described above, acts of government or de facto authority, government-imposed prohibitions, war, threat of war, civil unrest, any kind of hostilities, terrorist activities, industrial disputes, strikes, theft, robbery, sickness, heath risks, pandemic, accident, quarantine, immigration or customs regulations, hijacking, closure or congestion of airports or ports, breakdown, delay, cancellation, error, omission, inclement weather, storms, tempests, hurricanes, cyber attacks, volcanic eruptions, delay or default of any person engaged in providing any tour services including transportation and accommodation and golf, construction or traffic, hotel closures, changes or cancellations of schedules by airlines, or any other cause beyond its control. PG shall not be liable for any injury, damage, or loss resulting from the neglect or fault of any company or person engaged in conveying passengers, or of any hotel proprietor or other person supplying services. Furthermore, PG reserves the right, without notice, to make any changes or cancellations, in part or in whole, as circumstances dictate (e.g., a fire damages a hotel so an alternative is necessary). Changes will be to be made to similar establishments of equal cost when possible. PG is not liable for loss, damage, or theft of luggage or personal belongings, for personal injury, accident, or illness on any vehicle or at any place throughout the trip.

Additional Risks

 
Additional risks and dangers may arise including, but not limited to, hazards of travel by train, automobile, motorcoach, aircraft, and other means of conveyance, animal interactions, forces of nature, political unrest, other unrest, risks associated with water, food, plants, insects and differing animal regulation, sporting injuries or accidents, and acts of national and local governments and unrest and acts of others against governments. These risks are not an exhaustive list but are examples of many kinds of risks. You are voluntarily participating in these activities with the knowledge that there are significant dangers involved, and you hereby agree to accept any and all risks. As lawful consideration for the agreement with PG to participate in such trips and activities you agree you will not make a claim against PG, its related companies or its personnel or sue for bodily injury, emotional trauma, death, property loss or damage or other loss, cost or expense, however caused, as a result of or related to your contracting for, traveling to or from, or in any and every other way participating in the trip. You release PG, its related companies and its personnel from any and all claims, known or unknown, arising from contracting for, traveling to or from, and in any and every way participating in a trip. This release of liability and assumption of risk agreement is entered into on behalf of you and all members of your family and party, also including minors. This agreement also binds your heirs, legal representatives and assigns. 

Where the traveler occupies a motorcoach or other vehicle seat fitted with a safety belt, neither PG nor the Operator nor its agents or co-operating organizations or service providers will be liable for any injury, illness or death or for any loss or damages or claims whatsoever arising from any accident or incident, if the safety belt is not being worn at the time of such an accident or incident. This exclusion and limitation of liability shall not be used to imply that the Operator or its agents or affiliated entities are liable in other circumstances.

Your Conduct

 
Each participant is expected to act responsibly and adhere to all behavior guidelines established by PG and our local suppliers. PG and all local suppliers reserve the right to remove you from any trip, golf course, hotel, guesthouse, establishment or means of transportation if you endanger yourself or others or disrupt the general well-being of the facility or trip itself. In any such case, there will be no refund. 

When you book with PG, you accept responsibility for any damage or loss caused by you. Full payment for any such damage or loss (reasonably estimated if not precisely known) must be paid directly at the time to the accommodation owner or manager or other supplier. You must indemnify us for the full amount of any claim (also including legal costs) made against us. PG is not responsible for any costs incurred concerning a guest removed from a trip, golf course, hotel, guesthouse, or means of transportation. Guests agree not to hold PG or any of its related entities liable for any actions taken under these terms and conditions. Baggage and personal effects are at all times the sole responsibility of the participant.

Severability

 
If any provision of these terms and conditions shall be held unenforceable, such provision shall be struck and the remainder shall remain enforceable.

Jurisdiction and Venue

 
Acceptance of our proposal is an implicit agreement; should any legal action be initiated to enforce any terms and conditions of this agreement or any legal action is initiated in any way, directly or indirectly, related to this agreement, the jurisdiction and venue for such legal action shall be in Travis County, State of Texas, USA. These Terms and Conditions and any agreement to which they apply are governed in all respects by the laws of the state of Texas without regard to conflicts of law principles. All claims must be submitted in writing and received by PG no later than sixty (60) days after the completion of the PG organized trip. Claims not submitted and received within this time shall be deemed waived and barred.

Accuracy

 
PG expends every effort to maintain accurate promotional materials, including our website(s). PG is not responsible for changes that may have occurred since publication of any materials and accepts no responsibility for any errors or omissions. These Terms and Conditions supersede any and all prior Terms and Conditions published by PG, including, but not limited to, those which may have appeared in any brochure, website, or other publication. 

This contract between the traveler(s) and PG is considered to be consummated upon the payment of the first deposit by the traveler to PG. The traveler agrees to be bound by PG’s terms and conditions contained herein.
