When you secure the services of Pioneer Golf, Inc., you do so on the implicit understanding that we are your sole representative. A good-faith deposit is required before any action is undertaken on your behalf.

The lead participant assumes the responsibility of sharing these Terms and Conditions with each trip participant. Pioneer Golf is not responsible for any participant’s unawareness of the Terms and Conditions due to the failure of the lead participant to share this information with all other participants.

We strongly recommend that each participant read our Terms and Conditions in its entirety. At the time of registration, each participant will be asked to initial a statement indicating whether s/he has decided to purchase travel insurance. Since our deposits and final payments are non-refundable, we urge all of our clients to purchase trip cancellation insurance; details are available at www.pioneergolf.com/travelinsurance. If you elect to forgo travel insurance and cancel your trip, you will have to assume full financial responsibility. Exceptions cannot be made.


 The total trip price is based on the number of participants as stated in the accompanying proposal and is stated in U.S. dollars. Pioneer Golf converts all prices from British pounds (GBP) or euros (EUR) to U.S. dollars, at the prevailing retail rate of exchange, on the date that the proposal is prepared. Our trip prices cannot be itemized.

Clients who obtain a St. Andrews-Old Course tee time through the advance application process can expect green fees for the two rounds at St. Andrews to be approximately £250 (Old Course and the New or Jubilee Course) or £295 (Old Course and the Castle Course). These green fees are included in our initial trip price in order to reflect an accurate cost of the entire trip. However, these green fees will be paid directly by you to St. Andrews in November prior to the trip. Once all of your reservations have been secured, we will send you a Reservation Summary with a revised trip price that excludes the green fees at St. Andrews.

If your trip includes the cost of two St. Andrews courses through the advance application process, the rate of exchange for this portion of your itinerary cannot be fixed (i.e., it is still subject to exchange rate fluctuation since it is paid directly to St. Andrews).  For those living outside of the US, trip prices will continue to be affected by fluctuation in the rate of exchange between their currency (e.g., CAD) and the US dollar.


Our price assumes double occupancy (unless otherwise stated in the proposal) and is based on the number of participants stated in the proposal. All prices are based on standard rooms with private bathrooms at the hotels or guesthouses suggested in our proposal, unless otherwise specified. Superior or deluxe rooms, suites, or rooms with views (sea or golf course) are available at many hotels for an additional charge. Should you require an upgrade in accommodations, please state the request in writing upon payment of your initial deposit. Most hotels and guesthouses have only a limited number of single rooms to which a separate price applies. Should rooms be unavailable, accommodations at a comparable establishment will be offered, with any necessary price adjustment. Room rates vary depending on the month of travel and, quite often, on whether the reservations are for a weeknight or weekend night.

Most direct trans-Atlantic flights arrive in the UK or Ireland in the morning. Hotel and guesthouse rooms are often not available on arrival since the official check-in time is typically between 1:00pm and 3:00pm. However, luggage and clubs usually may be left at the hotel or guesthouse prior to check-in.

If staying at a guesthouse, you will be asked for your approximate check-in time since guesthouse owners want to ensure that all guests are greeted upon arrival. If you are delayed (or your plans otherwise change), it is essential that you notify the proprietors of your revised arrival time so that someone will be available to admit you. Check-in ends at 9:00pm at all guesthouses unless unusual circumstances prevail; prior notification to the proprietors is required.

Although guesthouses do not have a full-time reception desk, guests are issued keys so that they may come and go as they please. Most guesthouses do not have phones in each room; guesthouse owners encourage clients to use public phones or their own cellphones rather than ask to use the main phone at the house. None of the guesthouses and very few hotels (with the exception of four-star and five-star hotels) have elevators or air conditioning in their rooms.


Our price assumes play on the courses specified on the days of the week indicated. Weekend fees are often higher. If it is necessary to rearrange courses due to availability, date changes, or any other reason, our price is subject to adjustment.


Coach or Point-to-Point Transportation

Our prices assume that all group participants will arrive and depart together as one group at the same airport. The group leader is responsible for ensuring that all participants arrive within a reasonable time of each other. Multiple arrivals and / or departures, as well as flight delays requiring additional services,  are subject to availability of vehicles and additional charges may be payable directly to the vehicle driver.

Self-Drive Vehicles

In Scotland, England, and Wales, vehicles are equipped with automatic transmission unless otherwise noted; unlimited miles are included.

In the Republic of Ireland and Northern Ireland vehicles are equipped with manual transmission unless otherwise noted; unlimited miles are included.


Many courses have handicap limits and some require a handicap card/certificate (e.g., the St. Andrews-Old Course requires an official USGA, RCGA, or equivalent handicap card (e.g., GHIN card) to be presented). We cannot be responsible for unacceptable credentials. Handicap limits at most courses are 24 for gentlemen and 36 for ladies. Notable exceptions include the following: Muirfield – 18 (gentlemen and ladies); Royal Troon – 20 (gentlemen), 30 (ladies); Royal Portrush – 18 (gentlemen), 24 (ladies). Pioneer Golf can assist those without a handicap card, but only if notified at least two months before departure.


Pioneer Golf will request caddies for all group participants several months in advance of the departure date. However, caddies are independent contractors, not employees of the club, and, as such, their services cannot be guaranteed. Furthermore, golfers are directly responsible for compensating (in local currency) any caddie that has been requested on their behalf. Cancellation of the services of a caddie must be in writing, and if not received 72 hours in advance of the round, will be payable nonetheless.


Travel insurance for accident, baggage, and trip cancellation protection is recommended. Note that the terms of coverage for a pre-existing medical condition sometimes require that the policy be purchased prior to certain trip payment dates. Most often, we see travel insurance used for reimbursement of expenses related to missed tee times due to a flight delay or cancellation, damage to clubs, rental clubs (if clubs are delayed), and transportation costs incurred to catch-up with the rest of the group if an individual’s flight is delayed.


U.S. and Canadian citizens are required to have a valid passport (no visa is required). Citizens of other countries should check with their British/Irish Embassy or closest British/Irish Consulate.


Pioneer Golf, Inc. is not responsible for any loss of services that occurs as a result of air travel that is disrupted, delayed, or canceled. Green fees, the cost of ground transportation, accommodations, and any other portions of your trip are non-refundable and non-transferable. Pioneer Golf will make every effort to assist you with any changes or additional arrangements that may be required.  Note that missed flights, flight delays or any similar occurrence, may incur additional charges and may be payable directly to the driver at the time.


We accept checks, MasterCard, American Express and Visa. Our price is identical whether payment is made by check or credit card.

Initial Deposit

In order to proceed with your arrangements, an initial deposit is due upon acceptance of our proposal. The amount of your initial deposit is stated in your proposal.

If interested in playing the St. Andrews-Old Course, a tee time may be obtained in one of the following ways:

1) Submitting an advance application to St. Andrews in late August
2) Entering the golfers’ names into the daily ballot (lottery)
3) Standing-by on the day of play
4) Purchasing a guaranteed / specific tee time held by Pioneer Golf
5) Purchasing a guaranteed / specific tee time that Pioneer Golf may obtain indirectly from St. Andrews

The initial deposit is refundable if we are unable to reserve tee times on one (or more) of the courses in your itinerary. However, there are two exceptions to this: 1. The St. Andrews-Old Course, but only if using method one, two, or three and 2. Muirfield.

Second Deposit

A second deposit is due from all group members once all reservations are confirmed. Payment of this second deposit represents your endorsement of the accommodations and tee times as presented to you and, as such, is non-refundable under any circumstance.

Final Balance Payment

For most trips, the final payment will be due 75 days prior to departure. However, if a guaranteed / specific Old Course tee time has been obtained other than through the advance application process, the remaining balance will be due 95 days prior to departure.


After the second deposits have been paid, changes to your group’s itinerary will be assessed a fee of $35.00 per change per person.  No changes will be made within thirty days of departure. These administrative fees are in addition to any supplier charges incurred as a result of such changes. Changes may also result in the forfeiture of non-refundable deposits and/or prepayments paid to golf courses or hotels. We reserve the right to charge payment (due as a result of any change) to the group leader as a lump sum (i.e., individual invoices will not be sent). Amendments that increase the number of participants will not incur a change fee.


We strongly recommend travel insurance to protect you in case of cancellation, especially in light of possible future disruptions that Icelandic volcanoes may cause.

All deposits and final payment are nonrefundable except as stated above regarding the initial deposit. In addition, refunds cannot be issued for unused portions of the trip package.

Reduction in Group Size

Costs prorated over the entire group (e.g., rental vehicle, coach, etc.) may increase due to individual cancellation that results in a reduction of the group’s size. Therefore, depending on the timing of an individual cancellation, the price per person for remaining group members may increase.


Acceptance of our proposal is an implicit agreement that should any legal action be initiated to enforce any terms and conditions of this agreement or any legal action is initiated in any way, directly or indirectly, related to this agreement, the jurisdiction and venue for such legal action shall be in Travis County, State of Texas, USA.


We expend every effort to maintain accurate promotional materials, including www.pioneergolf.com.  Pioneer Golf is not responsible for changes that may have occurred since publication of any materials and accepts no responsibility for any errors or omissions. These Terms and Conditions, last updated March 01, 2016, supersede any and all prior Terms and Conditions published by Pioneer Golf including, but not limited to, those which may have appeared in any brochure, website, or other publication.


Pioneer Golf, Inc. acts only as agent for the owners or contractors providing transportation, accommodation, golf, and other services. All tickets and vouchers are subject to any and all terms and conditions under which transportation, accommodation, golf, and other services are offered or provided, and constitute the sole contract between the trip member and supplier. Pioneer Golf, Inc. shall not be liable at any time, in any way, for loss, injury or damage arising from an act of nature, acts of government or de facto authority, war, civil unrest, any kind of hostilities, strikes, theft, sickness, accident, quarantine, immigration or customs regulations, hijacking, breakdown, delay, cancellation, error, omission, inclement weather, volcanic eruptions, or any other cause beyond its control. Pioneer Golf shall not be liable for any injury, damage, or loss resulting from the neglect or default of any company or person engaged in conveying passengers or of any hotel proprietor or other person supplying services or materials. Furthermore, Pioneer Golf, Inc., reserves the right, without advance notice, to make any changes or cancellations, in part or in whole, as circumstances dictate. The airlines, shipping lines, motor coach, railroad, and any other transportation company, when used, shall not be liable for any act, event, or omission during the time passengers are not on board their conveyance.

Information We Collect

We collect “Non-Personal Information” and “Personal Information.”  Non-Personal Information includes information that cannot be used to personally identify you.  Examples are, anonymous usage data; general demographic information we may collect; referring /exit pages and URLs; platform types; preferences that are generated based on the data you submit, and the number of clicks.  An example of Personal Information would be your email address which you submit to us through the registration process on the Site.
